Autoresponders
Set up Qubeforms email autoresponders to confirm form submissions. Customize messages with field tokens, configure the submitter email, and review delivery limits.
1. Enable a submitter confirmation
Starter, Pro, and Business can automatically send a confirmation to the submitter. Open Settings → Delivery & spam, set Reply-To field to the field containing the submitter’s email (default email), turn on Send an autoresponder, fill in Autoresponder subject and Autoresponder message, then select Save delivery settings. The destination comes from that submitted field and must be a valid email address. This is separate from notifications sent to your verified recipients.
2. Write the message
The subject must be a single line of at most 191 characters; the message can contain up to 20,000 characters. Write the message as plain text. Line breaks are preserved in the email, while typed HTML is displayed as text. Use a neutral acknowledgement rather than promising a response time you cannot meet. The example assumes your form collects name.
Subject: We received your message — {{form_name}}
Hello {{name}},
Thank you for contacting us. We received your submission.
Your reference is {{submission_id}}.
Our team will review your message.3. Use template tokens
Use {{name}} or another exact top-level field name to insert a scalar submitted value. {{form_name}} and {{submission_id}} are supplied by Qubeforms and cannot be overridden by visitor fields. Missing fields, arrays, and unrecognized values render as empty text. Tokens do not support loops, calculations, or nested-object lookup. Include the corresponding fields in your form and test a submission with missing optional values.
4. Understand sending limits
Autoresponders have an account-wide daily safety allowance: 100 on Starter, 1,000 on Pro, and 5,000 on Business, using UTC days. The default limit to the same destination is 5 per account/day across forms. Only eligible non-spam submissions with the feature enabled and a valid destination can schedule a confirmation. When an autoresponder allowance is exhausted, the submission can still be accepted while no new autoresponder is scheduled. These limits are separate from the monthly submission allowance.
5. Check delivery and disable when needed
Use an address you control for the first test. Inspect the submission’s email_autoresponder delivery record and the mailbox, including spam folders. Missing confirmations can mean a missing or invalid email field, spam classification, exhausted sending limits, or mail delivery failure. Disable Send an autoresponder and save to stop future confirmations; queued sends recheck this setting and the form’s current plan before delivery. Already sent email cannot be recalled.
6. Understand branding
Autoresponders use the Qubeforms notification layout and configured service sender. This setting does not let you choose an arbitrary From address or a custom sending domain. Business Custom notification HTML changes recipient notification content, not the autoresponder message. See Delivery status and retries for delayed or failed confirmations.
Public form keys can appear in browser code. Read keys, management credentials, and webhook signing secrets must stay on the server.
